Your clients read WhatsApp within minutes. Email, not so much. So a reminder on WhatsApp the day before is one of the cheapest ways to cut no-shows. The catch: "automatic WhatsApp reminders" usually means Meta's paid service for companies: a business account with Meta, message templates that Meta has to approve, and a fee for most messages.

For a small salon or barbershop there's a simpler way. Send the reminder from your own WhatsApp, with the message already written, in one tap per client. This guide covers the three ways to send WhatsApp reminders, how a wa.me link with ready text works, when to send, templates you can copy, and the mistakes to avoid.

What are the ways to send appointment reminders on WhatsApp?

There are three: type each message by hand, open a chat with the text already filled in through a wa.me link, or have them sent automatically through Meta's paid service. The first two are free and use your own number; the third runs on its own but needs Meta setup and usually costs per message.

A wa.me link opens a WhatsApp chat with a specific number and puts your text in the message box. You only press send. On a phone it opens the app; on a computer, WhatsApp Web or the desktop app. The client sees an ordinary message from your number, not from a bot.

The link has two parts: the number in full international format, without "+", spaces, brackets or a leading zero, and your message after ?text=. For a client in Mexico, wa.me/5215512345678?text=.... The most common mistake is a number saved without the country code: WhatsApp then can't find the chat.

When should you send the reminder?

The day before, ideally between late morning and early evening. That's close enough that the client remembers and far enough that they can still reschedule, which gives you time to fill the slot. For early-morning appointments, send the evening before; for long or expensive services, add a second message two or three days ahead.

Make it a five-minute routine: at the same time every day, open tomorrow's appointments and send each reminder in turn. Doing it at a fixed time is what keeps it from being forgotten on busy days.

Reminder templates you can copy

A good reminder fits on one phone screen and answers four questions: who, what, when, and what to do if plans changed. Replace the parts in braces, keep the tone you'd use in person, and keep it short; long reminders get skimmed and the time gets missed.

The day before

Hi {name}! Reminder of your {service} tomorrow, {day} at {time}, at {salon}. If anything changes, just reply here and we'll find another time 😊

Asking to confirm

Hi {name}, we have you booked for {service} on {day} at {time}. Reply 1 to confirm or 2 if you need to change it. Thanks!

With a deposit

Hi {name}! See you tomorrow at {time} for {service}. Your deposit is already counted toward the total. If you need to cancel, please let us know at least {hours} hours before.

Same day, for late bookings

Hi {name}, see you today at {time} for {service} πŸ’‡ Address: {address}. Running late? Send us a message.

Mistakes that make WhatsApp reminders backfire

  • Numbers without the country code. Save every client's number in international format from the start; fixing it the day before is when reminders get skipped.
  • Sending too early. A reminder a week before is forgotten by the day itself. The day before works best.
  • No way to change plans. If the message doesn't say what to do when something comes up, the client doesn't reply and just doesn't come.
  • Bulk lists and broadcasts. Sending the same text to many people at once looks like spam and can get your number reported. One client, one chat.
  • Relying on memory. The day you're busiest is the day you'll forget. Tie it to a fixed time and a list of tomorrow's appointments.

How Pronto sends WhatsApp reminders in one tap

In Pronto, every upcoming appointment in the Calendar has a "Send in WhatsApp" button when the client has a phone number. It opens your own WhatsApp with that client's chat and a reminder already written, in the language of your Pronto account, with the service, date, time and your business name, plus a link to cancel if you let clients cancel on their own. You can edit the text before you press send. The appointment then shows "Reminder sent via WhatsApp" with the time, so nobody on the team sends it twice.

No Meta account, no templates, no per-message fees, and it works on every plan, including Free. If a number is saved without the country code, Pronto adds your business's country code. Email, Telegram and Viber reminders still go out automatically on their own. And if you later connect automatic WhatsApp in Settings β†’ Notifications, the button steps aside for clients whose WhatsApp number is saved on their card, and their reminders go out by themselves.

Can I send WhatsApp appointment reminders for free?

Yes. Send them from your own WhatsApp, typing each one or using a wa.me link that opens the chat with the message already written. Only automatic reminders through Meta's paid service need a Meta business account, approved templates and, in most cases, a fee per message.

What is a wa.me link?

A link that opens a WhatsApp chat with a given number and, optionally, a ready message in the text box. The number goes in full international format without "+", spaces or a leading zero, and you still press send yourself.

When is the best time to send an appointment reminder?

The day before the appointment, between late morning and early evening. For early-morning appointments, send the evening before. For long or expensive services, add a second reminder two or three days ahead.

Is it OK to send reminders from my personal WhatsApp?

It works, but the free WhatsApp Business app is better: it shows your business name, hours and address, and lets clients tell your salon chats apart from personal ones. Reminders sent one by one, to clients who booked with you, are normal messages, not spam.

Can Pronto send WhatsApp reminders without any WhatsApp setup?

Yes. The "Send in WhatsApp" button on each upcoming appointment opens your WhatsApp with the reminder ready; you just press send. It's free on every plan, including Free, and needs no Meta setup.
