Not every stylist works the same hours. One is only in on weekday mornings, another covers Saturdays, a third takes Mondays off. If your booking software treats the whole team as one schedule, clients get offered times nobody can actually take, or your busiest hours never show up as open at all.
Why can't the whole team share one schedule?
Because "the business is open" and "this person is working" are two different facts. A salon open 9 to 7 might have a colorist who only comes in from 10 to 3. Merge those into a single calendar and you either offer a 9am slot with nobody there to take it, or you treat 10 to 3 as the only bookable window for the whole team, because that is when the one part-timer happens to be free. Individual schedules fix both problems at once.
What should an individual staff schedule include?
A useful staff schedule needs four things: which days each person works, their hours on each of those days, any break (shared or personal), and a way to mark one-off exceptions like a vacation day. Everything past that, such as color-coding, labels and internal notes, is nice to have and not essential.
| Group | Field | Example |
|---|---|---|
| Weekly pattern | Working days | Tue, Wed, Fri, Sat |
| Weekly pattern | Hours per working day | 10:00–18:00 |
| Weekly pattern | Break during the day | 13:00–14:00 off |
| Weekly pattern | Days consistently off | Sun, Mon |
| Exceptions | One-off day off | Vacation, 3–10 March |
Should personal hours override business hours, or sit inside them?
They should sit inside them, not override them. A client should only be offered a slot when the business is open and that specific staff member is scheduled, both at once. If an employee's personal hours fully replace the business calendar, two things go wrong: someone working late gets booked straight through the owner's lunch break, or the booking page opens outside your real opening hours.
The safer rule: business hours and breaks apply first, personal hours narrow what is left inside them, and if the two don't overlap at all on a given day, that person simply isn't bookable that day. No manual blocking needed.
How to handle split shifts and part-time schedules
Part-time is the easy case: list the exact days someone works, set their hours for each, and switch off the rest. Split shifts (in for the morning rush, out, back for the evening) are harder, because a client searching for a late-morning appointment shouldn't see an opening that is really someone's time off. If the whole team pauses at the same time, a single business-wide break covers it. If each person pauses at a different time, you need a system that accepts more than one working block per day, so check that before you promise clients anything.
What goes wrong when staff schedules aren't set up correctly
- Leaving a part-timer on the default business hours. They get booked for a shift they're not working, and you find out when they don't show up.
- Forgetting a one-off day off. A client books during someone's vacation because nothing told the calendar they were away.
- Letting personal hours fully replace business hours. It opens the booking page outside your actual hours, or wipes out the lunch break you set for everyone.
- Keeping the real schedule in a group chat, not the booking system. Two sources of truth always drift apart, and the one clients book from is the one that matters.
How does Pronto handle staff schedules?
In Pronto, open Settings → Employees, open a team member and turn on Custom working hours for this employee. Each day has an on/off switch and From/To times, and next to it you can see the location's hours for that day. The option is off by default: until you turn it on, the person simply follows the business hours.
Once it is on, personal hours sit inside the business hours rather than replacing them. The booking page only offers a slot when both the business and that person are open, the business break applies on top, and a day you switch off, or one where the personal window doesn't overlap the opening hours, leaves that person with no slots that day. The same check runs again when the booking is submitted, so an old page can't book outside the hours. Custom hours is a Starter plan feature and up; the Free plan covers one team member, the owner.
Know the limits before you rely on it. Each person gets one working window per day plus the business-wide break, so a personal gap at a different time from the shared break can't be entered. There is no separate vacation entry: for time off, switch that day off for the person and turn it back on when they return (appointments that are already booked stay where they are). Personal hours can only narrow the business hours, never extend them. And when you add an appointment by hand in the calendar, Pronto warns you if the time falls outside the person's hours but lets you save it.
The same employee screen holds each person's commission rates (see how to calculate staff commission), and overlap protection works per person, so two clients can't take the same specialist at the same time (see how to stop double booking).
Staff schedules by business type
- Hair salons and barbershops: part-time colorists or barbers, and chair renters who work their own days.
- Spas and estheticians: therapists who only work certain days of the week.
- Fitness and yoga studios: instructors who teach on a few days or one block of the day, not the studio's full hours.
- Auto repair shops: mechanics on staggered shifts across the week.
- Tattoo and piercing studios: guest artists who are only in on certain days.
What is staff availability in booking software?
Staff availability is the record of which days and hours each team member actually works, kept separate from the business's overall opening hours. Booking software uses it to decide which time slots to offer a client for a specific person.
Should an employee's schedule override the business's hours?
No. The safer setup has personal hours sit inside business hours rather than replace them: a client is only offered a slot when both the business and that staff member are open, and business-wide breaks still apply to everyone regardless of who is working.
How do you set up a part-time or split-shift schedule?
List the exact days worked, the hours on each of those days, and any break. One-off changes like a vacation day are best handled as exceptions, not as edits to the weekly pattern. In Pronto, turn on custom working hours for the person, switch off the days they don't work and set From and To for the rest; each day takes one working window.
What happens if a staff member has no hours set for a day?
It depends on the software. In Pronto, someone without custom hours follows the business hours, which suits full-timers but books part-timers for shifts they don't work, so turn custom hours on for anyone who works less than the full schedule. Once custom hours are on, a day switched off is not bookable.
Does Pronto support different working hours per staff member?
Yes, on the Starter plan and up. Each person's hours are set independently and intersected with the business's own hours, so a client can only book a time when both are open. Each day takes one working window plus the shared business break.
